With the increasing needs of a company to buy and sell products or services, the importance of having high-quality receiving professionals is becoming more and more obvious.
The professionals handling the receiving end of the supplies must be therefore qualified to perform the enormous task of distributing the received products or services properly. The Receiving Department still proves to be one of the most important links the chain of supply.
Knowing the Regulations of the Company
Different companies may have different regulations when it comes to receiving supplies. However, the general rules in every Receiving Departments remain. Inspections, handling and making sure that the packages are sent to their respective recipients must be thoroughly observed.
Additionally, it is important to know if the company have certain rules regarding specific packages. For instance, as a professional receiver, you are expected to receive any notifications regarding any kind of large equipment or packages, if the company deemed it as a regulation. It is also important to receive the notifications prior to receiving the actual product.
Basic Protocols for Receiving
It is important for you to know the basic responsibilities of being in the Receiving Department. This is mainly because the vendors cannot be paid if the function of the receiver is not complete. Prompt payment may also sometimes cause the purchases to take discounts; this would truly prove to be beneficial for your company or organization.
Another basic procedure that you might observe is the necessity to receive the delivered package through the instructions on the purchase order. This way, if the product is required by the purchase order to be delivered directly to the Receiving Department, you have the automatic task of inspecting the product and making a copy of the purchase order.
The Receiving Report
The receiving report simply states any matters regarding how the product or service was received. Also, the report therefore ensures that the package received is in excellent condition. It may contain a copy of the purchase order, the items received and who sent the items and when.
There might be cases when you receive partial merchandise. If this happens, you might be required to retain a copy of the ticket for the delivery. This would be used for future deliveries.
Reporting Damages or Defect
There might come a time when that package you receive is defective or damaged. If this happens, it is important to remember that reporting such incident is required. Depending on the regulations set by your company regarding such matters, you may retain the original shipping cartons of the products and contact the vendor and acquire an RMA or Return Materials Authorization.
